Leaving eClass at zero cost: how to move your roster, attendance, conduct, OLE and library to GenEdu Campus

One-line answer: moving your eClass data into GenEdu Campus needs no consultant, no code and no invoice — export CSVs from eClass, upload them one by one in the "Migrate from eClass" wizard in the GenEdu admin panel, preview, then import. Around half a day.

Why consider switching?

Most Hong Kong schools run their intranet on eClass, paying an annual per-student licence with add-on modules (ePayment, eLibrary, eSports, eAdmission…) bought separately. GenEdu Campus gives the same 20+ modules to every Hong Kong school for free, with no seat cap or expiry, and without requiring the GenEdu AI teaching plan. The one hesitation we hear: "Can our data actually come across?" This article is the answer.

Before you start (15 minutes)

1. In the GenEdu admin panel → School, create the current academic year and grades (P1–P6 or S1–S6). Classes are created automatically from class names.
2. Have an eClass administrator account ready for exports.
3. Pick a transition strategy (see the timetable at the end).

Step 1: Roster (students, classes, parents)

This is the only mandatory first step; every other module maps rows to students in the roster.

Export from eClass: User Management → Students → Export (CSV / XLSX). Keep these columns where possible:

Import into GenEdu: Admin → Migrate from eClass → Roster → choose file → Preview. You will see:

• Column mapping — the wizard matches eClass English and Chinese header names automatically (UserLogin, Login ID, 登入名稱 all map to Username).
• Issues — e.g. a row without a class, or a class name whose grade cannot be inferred. Fix the CSV and preview again until the list is empty.
• Sample — the first 10 rows, so you can confirm Chinese text is intact (UTF-8, UTF-16 and Big5 are tried automatically).

After Import, the screen lists the one-time initial passwords for every new account (shown once only). Download the CSV immediately and distribute by class; users must change the password on first login.

Step 2: Attendance

Export: eAttendance → Reports → Daily attendance → Export. Columns are typically Login / Class / Class No / Date / AM / PM / Status.

Import: choose Attendance. Students are matched by login → class + class number → name (only when unique school-wide). Status values such as Present / Absent / Late / Early Leave / Sick and their Chinese equivalents convert automatically. The natural key is student + date + session, so you can import month by month.

Step 3: Conduct (merits and demerits)

Export: eDiscipline → Records → Export. Merit / Award map to merits, Demerit / Misconduct to demerits, the points column is kept, and rows are tagged as imported so they can be reported separately.

Step 4: OLE (Other Learning Experiences)

Export: iPortfolio / OLE → Student records → Export. Title / Category / Organization / Role / Start Date / End Date / Hours / Domain map to the GenEdu learning portfolio; OLE domains are recognised automatically and can later be exported in WebSAMS OLE format.

Step 5: Clubs and ECA membership

Export: eEnrolment → Clubs → Members → Export. Activities are created by name and members added as accepted; Role is kept in the note.

Step 6: Library catalogue

Export: eLibrary plus → Catalogue → Export. The barcode / accession number is the natural key; ISBN, title, author, publisher, call number, category and location are preserved. Loan rules (limits, loan period, fines) are set under Library → Rules.

Step 7: Assets (optional)

eInventory asset lists import the same way, keyed by asset number.

Troubleshooting

• Garbled Chinese — some eClass versions export Big5; GenEdu tries it automatically, but if problems persist re-save as "CSV UTF-8" in Excel.
• "Student not found" — usually a Login ID that differs from the roster (e.g. case). The wizard lists every row; fix and preview again.
• Grade cannot be inferred — class names beginning 1A, P1A, S3B, 中三乙 are recognised; otherwise create the class manually first.

Suggested transition timetable
